Cancellation Policy
Healthy Stems Therapy is committed to clear, fair arrangements around fees, payment, and cancellations, so both you and I know what to expect. This policy applies to all individual counselling sessions provided by Healthy Stems Therapy, delivered online via Zoom.
Session fees
The current fee is $130 per session (50 minutes). An additional $10 after-hours fee applies to sessions starting at 5:00pm or 6:00pm. These are the only after-hours times offered, and weekend sessions are not offered.
Fees are reviewed quarterly. Where a fee change affects an existing client, at least 30 days' written notice will be given before the new fee takes effect. New clients are charged the fee current at the time counselling begins.
Payment
Invoices are sent via email once a session is confirmed, and payment is made securely online via Stripe before the session, unless otherwise agreed.
If your financial situation changes, please speak with me before your appointment. I'm open to discussing options where possible, but payment and cancellation terms still apply unless otherwise agreed in writing.
Session confirmation
You'll receive an SMS the business day before your session, asking you to confirm. If a session isn't confirmed, it may be offered to another client and will be considered cancelled. Once confirmed, an invoice is sent for that session.
Waitlist
If there is no session available on the day you have asked for, I can note your interest in case someone cancels. This is a same-day list only. It does not carry over to other days, and you will only be contacted if an opening comes up. If you do not hear from me, it means nothing became available that day. You are welcome to ask again about another day at any time.
Cancellations and non-attendance
I understand that plans change. If you need to cancel or reschedule, please give at least 24 hours' notice before your scheduled session time.
Cancellations with less than 24 hours' notice, and non-attendance ("no-shows"), may incur the full session fee. This applies regardless of the reason for cancelling, except in circumstances discussed and agreed with me directly.
If you're facing a genuine emergency and let me know as promptly as you can, the fee for that session may be reduced to half the session fee, at my discretion. Sessions can only go ahead while you are physically located in Victoria, and I will check this at the start of each session. If a session cannot proceed because you are outside Victoria, no cancellation fee applies the first time this happens and we will simply reschedule. If it happens again, the usual notice terms above apply.
